Safari Booking Terms & Conditions

Nova Afrika Kenya Safaris

1. Booking Confirmation

A safari booking is considered confirmed upon receipt of:

  • A completed booking form or written confirmation via email/WhatsApp
  • The required deposit payment as communicated in the quotation/invoice

Bookings are subject to availability at the time of confirmation

2. Payment Terms

  • A deposit is required to secure all safari bookings.
  • The remaining balance must be paid before the safari start date unless otherwise agreed in writing.
  • Payments can be made via bank transfer, credit/debit card, M-Pesa, or other approved payment methods.

Any bank transfer charges are to be covered by the client.

3. Cancellation Policy

Cancellation requests must be submitted in writing via email.

Cancellation Charges

  • More than 60 days before arrival: Deposit refundable less transaction/administration fees
  • 30–59 days before arrival: 30% cancellation fee
  • 15–29 days before arrival: 50% cancellation fee
  • 0–14 days before arrival: 100% cancellation fee

Certain lodges, flights, train tickets, or special offers may have stricter cancellation policies, which will be communicated separately.

4. Amendments & Changes

Any amendments to confirmed bookings are subject to availability and may incur additional costs.

Nova Afrika Kenya Safaris reserves the right to adjust itineraries due to:

  • Weather conditions
  • Road conditions
  • Government regulations
  • Park closures
  • Supplier operational changes
  • Safety considerations

In such cases, suitable alternatives will be provided whenever possible.

5. Passport, Visa & Health Requirements

Clients are responsible for ensuring they possess:

  • Valid passports
  • Required visas
  • Vaccination certificates
  • Travel insurance documents

Nova Afrika Kenya Safaris is not responsible for denied entry or travel disruptions resulting from incomplete travel documentation.

6. Travel Insurance

Comprehensive travel insurance is strongly recommended and should include:

  • Medical coverage
  • Emergency evacuation
  • Trip cancellation/interruption
  • Loss of baggage and personal belongings

7. Liability

Nova Afrika Kenya Safaris acts as an agent for hotels, lodges, airlines, transport providers, and other service suppliers.

While every effort is made to ensure safe and smooth travel arrangements, we shall not be held liable for:

  • Injury, illness, loss, damage, delay, or accidents
  • Force majeure events
  • Airline/train delays or cancellations
  • Theft or loss of personal belongings
  • Political unrest, natural disasters, pandemics, or unforeseen circumstances beyond our control

Clients participate in all activities at their own risk.

8. Accommodation & Transport

Accommodation and transport services are subject to supplier availability. In rare cases where confirmed facilities become unavailable, similar alternatives of comparable standard will be offered.

9. Wildlife Viewing

Wildlife sightings cannot be guaranteed, as animals move freely within their natural habitats. However, our experienced guides always strive to maximize game-viewing opportunities.

10. Child Policy

Child rates apply according to the policies of individual lodges, camps, and transport providers. Parents/guardians remain fully responsible for the supervision and safety of minors during the safari.

11. Special Requests

Dietary requirements, honeymoon arrangements, medical conditions, or special requests should be communicated in advance. While we do our best to accommodate them, fulfillment cannot always be guaranteed.

12. Complaints

Any complaints during the safari should be reported immediately to the guide or Nova Afrika Kenya Safaris office to allow prompt resolution.

13. Acceptance of Terms

Payment of the deposit or participation in the safari constitutes acceptance of these Safari Booking Terms & Conditions.
